A bit about the role

As an Administrative Officer, you’ll be a valued member of our Business Support team based at the Scotland Head Office in Glasgow. Your work will ensure the Scotland Leadership Team receives high quality, reliable support — enabling them to guide and strengthen over 85 children, young people and family services across Scotland.

This is a varied and purposeful role where you’ll provide a wide range of administrative support to all members of the Scotland Leadership Team and across departments, building strong working relationships with colleagues and external partner agencies. You’ll act as the main contact for Scotland’s contract management process, ensuring all Children’s Services contracts are completed, signed off and returned.

Your responsibilities will also include supporting Operational Directors with diary management, collating and updating records on a monthly or quarterly basis, supporting all aspects of meeting admin including minute taking for operational and HR meetings, maintaining office supplies and services, reception cover, raising purchase orders, and following financial processes for invoice payments.

About the Service

Our Scotland Head Office provides central support to more than 85 Children’s Services across the country. These services work with children, young people and families in a wide range of settings, offering practical help, emotional support and specialist interventions. The Business Support team plays a crucial role in keeping these services running smoothly by ensuring leaders and practitioners have the information, resources and administrative support they need to deliver high‑quality, child‑centred practice.

What you do could make a difference

It’s a great opportunity to build your administrative experience while providing a valued support service to a friendly, welcoming team. You’ll be the first point of contact for internal and external visitors, helping everyone feel supported and ensuring they have a positive experience. It’s a role that brings real job satisfaction and a strong sense of purpose.

As an Administrative Officer, you’ll:

  • Bring a calm, professional and intuitive approach to your work, handling tasks with sensitivity and confidence.
  • Communicate clearly and warmly, always aiming to deliver an excellent standard of customer service.
  • Work efficiently and stay organised, meeting deadlines in a fast‑paced environment.
  • Show enthusiasm for learning new processes and share good practice with others.

Let’s talk about you

  • Business Administration S/NVQ is welcome but not essential — relevant experience is equally valued.
  • Highly organised, with strong attention to detail and the ability to work to tight deadlines.
  • Confident in taking responsibility for your own tasks and leading on specific pieces of work when required.
  • Skilled in using IT systems including SharePoint, Excel, PowerPoint, Outlook and bespoke databases.
  • Experience providing administrative support to senior managers, often managing competing priorities.
  • Fully committed to achieving the best outcomes for children and young people.
  • Able to handle confidential and sensitive information with professionalism and discretion.
