Pharmacy Team Administrator
Hours available: 18 hours (0.5 WTE). Working pattern and days of work will be agreed in discussion with the Lead Pharmacists.
Location: Pharmacy Hub Office, Old Aberdeen Medical Practice, Aberdeen City HSCP.
An exciting opportunity has arisen for an enthusiastic and highly organised Team Administrator to join the Aberdeen City Health & Social Care Partnership Pharmacy Team.
The Pharmacy Team consists of approximately 40 pharmacists and pharmacy technicians providing Pharmacotherapy Services to GP practices across Aberdeen City. As Team Administrator, you will provide a comprehensive and efficient administrative service, supporting the Lead Pharmacists, Team Coordinators and wider pharmacy workforce.
This is a varied and rewarding role requiring excellent organisational skills, attention to detail and the ability to manage competing priorities in a busy environment. You will play a key role in supporting communication across the team, coordinating staffing information, maintaining records and assisting with a range of administrative processes that contribute to the smooth running of the service.
The Successful Candidate Will
- Provide administrative support to Lead Pharmacists, Team Coordinators and the wider Pharmacy Team.
- Coordinate staffing information including annual leave, sickness absence and payroll-related processes.
- Manage team correspondence, reports, minutes, agendas and meeting arrangements.
- Support diary management and scheduling of meetings and training
- Maintain accurate electronic filing systems, databases and records.
- Process team communications, updates and documentation to a high standard.
- Assist with monitoring information, audits and service reports.
- Act as an initial point of contact for enquiries, responding appropriately and professionally.
- Support the maintenance of information governance standards including GDPR and confidentiality requirements.
We Are Seeking Someone Who Has
- SVQ III, RSA III Typing, Business Administration qualification, or equivalent experience.
- Education to National 5/Standard Grade level (including English) or equivalent.
- Experience working in a busy administrative environment.
- Proficiency in Microsoft Office applications and electronic mail systems.
- Excellent written and verbal communication skills.
- Strong organisational and prioritisation skills.
- Ability to work effectively both independently and as part of a team.
- Ability to handle confidential and sensitive information appropriately.
- Excellent attention to detail and accuracy.
- Knowledge of Information Governance, Data Protection and GDPR requirements.
