ESTATES COORDINATOR

ROLE OVERVIEW
You will play a pivotal role in delivering exceptional property management for our residential developments. Acting as a trusted point of contact for customers, contractors and colleagues, you will coordinate the work that keeps estates safe, compliant, and looking their best. Your calm professionalism and eye for detail will ensure issues are resolved quickly and communication is clear.
In this role you will bring structure and momentum to a busy portfolio, prioritising tasks, tracking actions, and keeping accurate records. You will be supported by experienced managers and a collaborative team, with the tools and processes you need to deliver consistently high standards.
ROLE EXPECTATIONS
Most days you will manage resident enquiries, arrange and track maintenance works, and keep systems and files fully up to date. You will liaise with contractors, chase quotes and permits, coordinate inspections, and provide timely updates to property managers and customers.
WHAT SUCCESS LOOKS LIKE
- Residents receive clear, timely and empathetic communication with issues resolved on first contact wherever possible.
- Planned and reactive works are scheduled swiftly, completed to standard, and logged with accurate documentation.
- Health, safety and compliance actions are monitored and closed out ahead of deadlines.
- Property managers are kept proactively informed with concise updates, risks flagged early, and solutions proposed.
- Supplier relationships are professional, cost-conscious and performance-focused, with quotes compared and value evidenced.
- Portfolio records, portals and trackers are immaculate, current and audit-ready.
HOW YOU'LL SPEND MOST OF YOUR TIME
- Handling and triaging resident and client enquiries by phone and email, providing updates and closing the loop.
- Raising work orders, obtaining quotes, issuing purchase orders and coordinating contractor attendance.
- Scheduling and tracking inspections, compliance checks, and routine maintenance visits.
- Maintaining accurate records across systems, preparing reports, minutes and action logs for meetings.
- Processing invoices, checking against agreed works, and escalating discrepancies promptly.
- Supporting property managers with service delivery, projects and day-to-day estate coordination.

EXPERIENCE THAT HELPS
- Experience in property, facilities, housing or customer service where you coordinated works or cases.
- Confidence working with contractors, quotes, purchase orders and basic invoicing.
- Familiarity with health and safety or compliance processes in a built environment.
- Strong administrative background with CRM/task management systems and Microsoft 365.
- Exposure to resident or client communications, drafting updates and meeting notes.
