We are seeking a full-time Helpdesk Coordinator to join our fast-paced team in Darlington.

Mon - Fri, between 8am - 5pm and covering out of hours on call when required.

The Role

As a Helpdesk Coordinator, you will be the first point of contact for incoming requests via email and phone, ensuring a professional and timely response. Youll manage the scheduling of engineers and sub-contractors, maintain accurate records on our CAFM system (QFM), and provide essential administrative support to keep operations running smoothly.

Key Responsibilities

  • Monitor and manage the helpdesk and client inboxes
  • Answer incoming calls in a friendly, professional manner
  • Log, update, and close jobs on QFM
  • Keep clients and colleagues informed on ongoing issues
  • Book travel and accommodation as required
  • Order materials and goods online
  • Raise purchase orders on Sage200
  • Liaise with engineers, subcontractors, and site-based teams
  • Schedule callouts and planned preventative maintenance (PPM) works
  • Provide cover for the on-call rota when required
  • Attend site visits if necessary

Essential Skills & Qualities

  • Previous office experience in a similar role
  • Strong communication skills, able to manage customer expectations
  • Excellent organisational skills with the ability to prioritise effectively
  • Confident IT user (Microsoft Office, email, CAFM systems, or similar)
  • A positive team player with a flexible, can-do approach
  • Reliable, self-motivated, and committed to delivering work to a high standard
