We are seeking a highly organised and proactive HR & Recruitment Coordinator to join our busy HR team. This is a varied role supporting the full employee lifecycle, with a particular focus on recruitment coordination, HR administration, and advising staff across the department. You will play a key role in ensuring smooth and efficient HR operations while delivering an excellent service to managers, colleagues, and candidates.

Key Responsibilities

HR Administration & Employee Lifecycle Support

  • Draft contracts of employment and amendments
  • Maintain accurate employee records and ensure compliance with internal processes
  • Administer payroll changes via HR systems to ensure staff are paid correctly
  • Support onboarding processes, including induction sessions for new staff
  • Respond to general HR enquiries, providing advice and guidance

Recruitment Coordination & Management

  • Act as the primary point of contact for all departmental recruitment activity
  • Manage multiple recruitment campaigns simultaneously, ensuring timelines are met
  • Coordinate advertising, shortlisting, and interview schedules
  • Organise and attend shortlisting meetings, taking notes and advising panels
  • Arrange interviews, including logistics such as booking rooms and coordinating candidates
  • Communicate with candidates and panel members throughout the recruitment process
  • Monitor vacancies and applications via the PeopleXD system and produce reports
  • Ensure all recruitment documentation is accurate and confidentially maintained

Stakeholder Engagement & Advisory

  • Advise managers, colleagues, and candidates via phone, email, and in person
  • Interpret HR procedures and policies to respond to more complex queries
  • Work closely with Finance to confirm funding before roles are advertised
  • Liaise with immigration and compliance teams to meet regulatory requirements
  • Build strong working relationships across academic and professional services teams

Team Support & Process Improvement

  • Provide day-to-day operational support to the HR Assistant
  • Identify opportunities for service improvements and support implementation
  • Prepare monthly HR and recruitment reports for internal meetings
  • Maintain recruitment information on departmental web pages

About You

We are looking for someone who is detail-oriented, adaptable, and confident working in a fast-paced environment.

Essential Criteria

  • Previous experience in HR administration and/or recruitment
  • Experience using HR systems such as PeopleXD (PXD)
