Role Description

Working within VIP Nation, Live Nation Entertainment’s VIP experiences business, you will help support the Event Management team on specific projects and events as well as with the day-to-day planning and fulfilment across the UK VIP Nation operates packages for festivals and tours

It is envisioned that in this role you will be focussing primarily on festival activity from May through to September and on touring activity year-round. In this role you will ensure the customer receives the event information in full and on time. You will also ensure that staff briefings are compiled to the agreed standard and assist our Event Managers in all aspects of relevant admin and organisation including travel bookings and expenses

The role is office based but you will also be required to work at events. For this role you should possess exceptional communication, interpersonal and organisational skills, be detail oriented and methodical and be able to demonstrate the ability to work on more than one project at a time

Who you are

Competencies / Skills / Knowledge / Experience

  • Excellent verbal communication skills
  • The candidate should have previous experience in writing briefings or reports to an appropriate level
  • Proficiency in Microsoft applications especially Excel and Word is essential. Use of formulas is desirable
  • Previous corporate /private events experience would be a distinct advantage
  • Previous experience in administration

What the role includes

This role will provide full administration support to the VIP Nation Event Managers in all areas of product and event fulfilment across both festivals and tours


  • Provide full administration for the management & fulfilment of tours, festivals, or events
  • Assist the event managers in researching product or capacity feasibilities and obtaining any necessary venue information
  • Assist in with the recruitment of casual staff & organisation of staff across the festival season
  • Prepare purchase orders to confirm goods, equipment and staffing as directed by Event Mangers
  • Co-ordinate logistical arrangements, book travel, as well as help claim all expenses back through our travel booking system
  • Ensure all casual staff hours are recorded correctly
  • Ensure all casual staff have supplied and completed required statuary information
  • Assisting in the collation and distribution of event staffing briefs
  • Compile all event information packs
  • Create and disseminate event information emails, communication to customers for each package in each city on each tour/festival and follow up with any non-deliverable items to ensure customers are aware of event timings and other important information
  • Allocation of time slots to customers where required
  • Agree and compile entry information and timings for letters/emails and itineraries
  • Compile and prepare registration materials
  • Post-event; provide crucial event information to the rest of the team
  • Compile a complete tour or festival summary report
  • Assist in sourcing and researching suppliers, including facilitating tender processes
  • Ensure stock and assets inventory is monitored, and up to date at all times. This will include making sure stock is replenished
  • Assist with the return of goods after a tour or a festival to our storage facilities
  • Ensure office storage space is kept tidy and follows guidelines
  • Assist with customer service enquires and complaints where necessary
  • Take and disseminate notes during meeting, as required
